You can ask Totex to send, correct or delete the data it holds on you
This page covers the studio's own records: intake forms, class attendance, filmed session footage, and anything typed into the contact form or the front-desk chat. It is not a request form for a class booking — use contact.html for that.
At a glance
Eight questions, answered plainly
What this covers
Totex keeps three kinds of record on a client: the paper or on-screen intake form filled out before a Movement Assessment, the attendance and billing history tied to a class card or coaching block, and the filmed footage a tripod camera captures during a session for that session's review. It also keeps whatever you type into the contact form on contact.html or into the front-desk chat widget. It does not keep payment card numbers — those are handled by a separate processor at the point of sale and never touch the studio's own files.
What you can ask for
Four things, and you can ask for more than one at once:
- A copy of the personal data held on you — intake answers, attendance dates, and any notes a coach attached to your file.
- A correction, if a phone number, address or clearance date is wrong.
- Deletion of a specific record, such as a filmed clip or a chat transcript.
- A plain answer to who has seen your file and why, if that's what you actually want to know rather than a full export.
A deletion request for footage still under active coaching review — meaning your coach hasn't yet walked you through it in the following session — is held until that review happens, then deleted on request. This is the one delay Totex applies, and it exists because the review is the point of filming in the first place.
How the studio checks it's you
The request has to come from the email address or phone number already on file, or be made in person at the front desk with a photo ID matched against the intake form. Totex will not read out or email a client's file to a caller it can't match to a record, even a caller who sounds sure of the details. That's a refusal made on purpose, not an oversight.
How to send the request
Email office@totexi.com with the subject line "Data request" and your name and the phone number on file, or call +1 (810) 555-6769 and ask the front desk to log one. There is no online form for this specific request — the studio would rather a person read it than route it through a ticket system that a four-person coaching staff doesn't have the volume to justify.
What happens after you send it
Someone confirms receipt within 10 business days, usually by return email. The full response — the export, the correction, or the deletion confirmation — follows within 30 calendar days. If footage has to be pulled from a locked drive and reviewed for other clients appearing in the same frame, Totex will say so and give a specific date rather than a vague "soon."
Where the record can end up outside the studio
Nowhere, as a rule. The one exception: if a return-to-activity client's clearance letter came from a doctor's office and that office asks Totex to confirm attendance for their own records, the studio will only reply with the client's written permission on file first. No footage ever leaves the building.
Advertising identifiers
Totex runs Google Ads, Microsoft Advertising and Meta Ads campaigns, and each can attach a click identifier — gclid, msclkid or fbclid — to a visit. A request to see or delete what an ad platform holds against your own advertising ID has to go to that platform directly, since Totex never receives the identifier in a form that ties back to your name; the full mechanics are on cookies.html.
